Leaving WebOké: here's how you take your data with you

Moving to another provider? Your website, email, files and domain names are yours, and you take them with you. Here you'll find how to do this per product, and in which order. The most important rule: export everything first and check it with your new provider, only cancel afterwards.

The order in short

  1. Set everything up with your new provider.
  2. Export or copy your data (see the table below) and check with your new provider that everything is there.
  3. Switch the DNS: the MX records (where your mail arrives) and the records for your website must point to your new provider. If you're also moving your domain, do that now.
  4. Wait a few days, copy your mail once more and check that everything works.
  5. Only then cancel.

What you take with you, per product

WhatHow you take it with you
Website and databasesIn WebOké Backups choose the method Download: you get a tar.gz file that's ready for 48 hours. See WebOké Backups: viewing, restoring or downloading a backup. Or make a backup in DirectAdmin (Backup and restore: making a backup yourself in DirectAdmin) or export a database separately (Exporting a database).
EmailVia IMAP. Use the migration tool from your new provider with your email address, password and our mail server (All settings at a glance: servers, ports and security). Or combine your old and new mailbox in your mail program and drag the folders over. Our own email migration tool only works towards WebOké.
NextcloudFiles with the desktop app or as a zip, calendars as an .ics file and contacts as a .vcf file. See Exporting your data from Nextcloud: files, calendar and contacts.
Domain nameTransfer with the transfer code (EPP code), see below.
DNS recordsMake a DNS backup and take the records to your new provider. See Making and restoring a backup of your DNS.
Your customer data and invoicesGo to My Details, Your data and privacy, and click Download all my data. You get a zip with your data and all your invoices as pdf. See Downloading your data or deleting your account.

Transferring your domain name

  1. Is DNSSEC on and does your domain get different nameservers at the new provider? Then turn off DNSSEC first and wait a day. See DNSSEC and transferring: turn off first, or take the key with you.
  2. Open the domain page and click Show EPP code in the Advanced card. For all your domains at once, use Request EPP codes in the Transfer Center. For some extensions you get the code by email. You request a .be code yourself from DNS Belgium. See How do I request the transfer code/epp token?
  3. Give the code (valid for 30 days) to your new provider; they start the transfer.

Domain names in a hosting package are not cancelled along with the package when you cancel it. They remain as a separate registration: transfer them or cancel them separately. If you let a domain expire, it will be removed at the registry on the expiry date. See Getting back an expired or cancelled domain: quarantine and recovery period.

Only cancel your hosting package or mail package once the MX records of your domain point to your new provider and the mail is actually arriving there. Otherwise mail will arrive at a mailbox that will soon no longer exist. Also take SPF, DKIM and other records with you. Check it with the Email check. Afterwards remove the old account from your phone and computer.

Cancelling: on the expiry date or immediately

Go to My Products, click Manage on the product and choose Cancel product at the bottom. A reason is required. You choose:

  • On the expiry date: the product keeps working until that date, without a renewal invoice. You can withdraw this as long as it's active, with Undo cancellation.
  • Cancel and delete immediately: everything is deleted right away. You cannot undo this.

We create the renewal invoice about 35 days before the expiry date. If that's already outstanding, in the cancellation window you choose whether you cancel as of the previous expiry date (the invoice is then credited) or as of the new one. You'll receive a confirmation of your cancellation by email. More information is in Cancelling products and domains, undoing a cancellation and what happens afterwards.

Using Nextcloud Free? Then you delete your account with Delete my account from Nextcloud Free. That happens immediately and permanently.

What happens on the end date

On the expiry date itself the package is terminated, without extra grace period. Everything in the package is deleted that day: your website, files, mailboxes, databases and a Nextcloud that's part of the package. You won't receive a separate email on that day. So export everything before the expiry date.
  • VPS: this is first switched off for 7 days and then deleted.
  • AI Builder: sites on our address go offline when the service stops.
  • Backups: once the package is gone, you can no longer restore anything yourself. Contact us if you still need something.
  • Your customer account: without products, we automatically delete it after a year. You can also do this yourself earlier, see Downloading your data or deleting your account.
About your rights when switching: The Data Act: your right to switch to another cloud service. Is the package going to someone else, for example when selling your business? Then you can transfer it to another WebOké customer instead of cancelling. See Cancelling, undoing a cancellation or transferring a product.
